Information we collect

Depending on how you use KEYPORT, information may include:

• Your name, email address, mobile or phone number and contact preferences.
• Account and authentication information, and addresses or vehicles you choose to save in your account.
• Collection, delivery and home addresses; vehicle make, model, registration and other relevant vehicle details.
• Booking and quote request details, Airport journey dates and flight information, access instructions and key arrangements.
• Photographs, videos and vehicle condition inspection records collected during Airport Car Concierge services, including Vehicle Condition Reports.
• Customer Service Agreement acceptance, including signer name, agreement version and acceptance time.
• Payment status and transaction references, and information you provide when contacting us.

How we use information

We use this information to manage accounts, assess relocation requests, prepare quotes, arrange and deliver services, record agreement acceptance, verify payments and send service-related communications. We also use relevant records to resolve enquiries, protect the website against misuse and meet applicable record-keeping obligations.

Consistent with the Airport Customer Service Agreement, vehicle inspection photographs, videos and condition records may be used to document vehicle condition at handover and return, record visible pre-existing damage, prepare Vehicle Condition Reports, manage legitimate customer enquiries, damage disputes and insurance claims, and maintain relevant operational and legal records. This policy describes how those records are handled; it does not introduce additional inspection procedures or obligations.

Service providers

Our website uses Supabase for database and authentication services, Stripe for payment processing, Resend for transactional email and Vercel for hosting. These providers process information needed to supply their respective services. Their processing locations and privacy practices are described in their own policies; information may be processed outside Australia.

Payments

Stripe processes payment information through its payment interface. KEYPORT does not store full payment card numbers or card security codes. Our booking records contain payment status, amounts, dates and transaction references needed to confirm and administer bookings.

Account information

You can manage supported profile fields, saved addresses and saved vehicles in your account. Updating those details does not rewrite information already recorded in a historical booking or agreement. Contact us if you need help with account information or an account deletion request.

Data security

We use access controls and server-side checks to restrict access to customer and operational records. No website or transmission method can be guaranteed completely secure. Keep your login details private and contact us if you suspect unauthorised access to your account.

Data retention

We retain booking, payment and agreement records, along with vehicle inspection photographs, videos and condition reports, according to operational needs and applicable legal and record-keeping obligations. Retention needs vary by record type and may include service administration, customer enquiries, damage disputes and insurance claims. Contact us about deletion; some records may need to be retained for these purposes.

Access, correction and privacy enquiries

Contact KEYPORT to request access to or correction of personal information, ask about deletion, or raise a privacy concern. We may need to verify your identity before responding or changing records. Please describe your request without sending passwords or full payment card details.
